This position will be about 90% in the office and about 10% out of the office, assisting with showings, open houses, etc. This position requires heavy data entry, heavy phones and computer skills.
RESPONSIBILITIES:
*Data entry of new listings into MLS and paperless system.
*Manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support.
*Responsible for all financial systems, including maintaining the books, paying the bills, handling payroll, assuring the collection of commissions, maintaining the budget, and generating financial reports.
*Oversee all contracts through closing and coordinating with lenders, title companies, buyers and sellers to ensure deadlines have been met.
*Create and maintain an operations manual that documents all systems and standards.
*Be the first point of contact in handling customer inquiries. Warm calls will be required.
*Responsible for hiring, training, consulting, leading and holding accountable all additional administrative team members.
DESIRED SKILL, EXPERIENCE, REQUIREMENTS:
-Possession of a minimum of a high school diploma required, some college preferred.
-2 or more years of successful experience in an administrative assistant role required or real estate experience.
-Possession of strong organizational skills.
-Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, PowerPoint). Bonus if you know how to use a MAC, MLS Matrix, Appfiles, or Follow Up Boss.
-Continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
-Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
-Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
-Ability to work independently on assigned tasks as well as to accept direction on given assignments.
-Must be able to interact and communicate with individuals at all levels of the organization.
-Must have a drivers license, and an insured vehicle.
-Polished, professional presence with clients in manner and dress – we work with affluent clientele and have to look the part.
